Ohzehn Group LTD. ("Ohzehn", "we", "us") runs ohzehntextiles.com and the Ohzehn Textiles business. This policy explains what personal information we collect when you visit the site, fill in a form, book a call or write to us, what we do with it, who receives it, how long we keep it, and the rights you have over it.
Ohzehn Textiles works with brands. Most of what we hold is business contact information about the people who work at those brands.
1. Who is responsible for your information
Ohzehn Group LTD. is the controller of the personal information described here. You can reach us about anything in this policy at hello@ohzehn.com. Put "Privacy" in the subject line and a co-founder will handle it.
2. What we collect
What you send us
Forms on this site. Our forms ask for:
| Field | Required |
|---|---|
| What you want to start (a sample, an OHZEHN-TEX™ sample run or a free garment read) | Yes |
| Your name | Yes |
| Work email | Yes |
| Brand | Yes |
| Tell us about the style (free text) | Yes |
We also record which page you sent the form from. Some forms may ask a few more questions of their own, such as your category, your brand website or your role, what changed in a garment, or who is coming on a mill visit and roughly when. If a form lets you attach a tech pack or photos, we receive those files too.
What happens when you send a form. It goes to our server, which saves it in a private table in our customer database that only our team can access, and emails the details to our team inbox so we can reply. Our server looks at your IP address for a moment to stop spam, but does not store it with your submission. What you type in a form never goes to our analytics or advertising tools.
If you tell us about other people, for example the colleagues coming on a mill visit, please let them know and point them to this policy.
Booking a call. If you book a call through our booking page, we receive your name, email, the time you pick and any notes you add. The booking creates a calendar event for both of us.
Email and messages. Anything you send to hello@ohzehn.com, to any of us directly, or through WhatsApp where a page offers it.
Garments and documents. If you send us a garment for a read, or a tech pack, we receive whatever is on or in it, such as a label or a contact name on a packing slip.
This site does not take payments and we never collect card numbers through it.
What we collect automatically
When you load a page. Our hosting provider records technical information to deliver and protect the site: your IP address, browser and device type, the page requested, the referring page and the time. Everyone's visit produces these records.
Analytics and advertising. Depending on where you are and what you choose in our cookie banner, analytics and advertising tools collect information about how you use the site: pages viewed, clicks and scrolling, time on page, device and browser details, your approximate location (country or region, worked out from your IP address), the page that sent you here, and ad click identifiers. In the UK, the European Economic Area and Switzerland these tools stay off until you accept them. Elsewhere they are on when you arrive and you can turn them off. Microsoft Clarity, one of our analytics tools, records mouse movement, clicks and scrolling so we can replay how a page gets used; it only runs after you actively accept analytics, and it masks what you type into form fields. The full list of tools and cookies, and how the defaults work, is in our Cookie Policy.
3. How we use it, and why we are allowed to
| What we do | What we use | Legal basis (UK and EU) |
|---|---|---|
| Reply to you, quote, arrange samples, garment reads, calls and mill visits | What you send us | Steps you asked us to take before a contract; our legitimate interest in answering business inquiries |
| Keep a record of our conversations and follow up about the request you made | What you send us, our replies | Legitimate interests (running our business). You can tell us to stop at any time |
| Run your program if you go ahead | What you send us, program records | Contract |
| Understand which pages get read and where the site is hard to use | Analytics data | Your consent (in the UK, EEA and Switzerland these tools stay off until you give it) |
| Measure and run our advertising, and show our ads to people who visited the site | Advertising data | Your consent (as above) |
| Keep the site working and secure, and stop spam | Technical records | Legitimate interests |
| Meet legal, tax and accounting duties, and handle disputes | Records we are required to keep | Legal obligation; legitimate interests |
We send follow-up emails about the request you made. We do not add you to a newsletter or a marketing list without asking you first. Every follow-up email lets you tell us to stop, and we stop.
We do not make decisions about you by automated means alone.
4. How we use AI tools
We use an AI writing-assistant provider to help us keep up with inquiries. When you write to us or send a form, your message, and our earlier emails with you, may be processed by that provider so our system can draft a reply or a follow-up.
- A person on our team reads and edits every reply before it is sent. Nothing reaches you from an AI tool on its own.
- Under our agreement with the provider, your messages are not used to train its models.
- We do not use AI to make decisions about you, and there is no chatbot on this site.
- If you would rather have a human-only reply, say so in your message or email hello@ohzehn.com, and we will handle your correspondence by hand, without AI tools.
- You can always reach a person at hello@ohzehn.com.
5. Who receives your information
We do not sell your personal information for money. We share it only with the recipients below, and only what each one needs. The analytics and advertising companies are named because their tools run in your browser. Our other service providers are listed by type; if you want the name of any of them, ask us and we will tell you (see Section 8).
Service providers that work for us under contract
| Type of provider | What they do for us | When |
|---|---|---|
| Website hosting provider (United States) | Hosts this site and our booking page, and runs our forms | Every visit and every form |
| Email and calendar provider (United States) | Runs our email (hello@ohzehn.com) and calendar, including the email our forms send to our team inbox | When you send a form, write to us or book a call |
| Database provider for our customer database (United States) | Stores form submissions in a private table only our team can access, and keeps our inquiries and correspondence | When you send a form, write to us or book a call |
| AI writing-assistant provider (United States) | Helps draft replies and follow-ups (see Section 4) | When you write to us or send a form |
Analytics and advertising companies
| Company | What they do for us | When |
|---|---|---|
| Google LLC (United States) | Google Analytics and Google Ads | When analytics or advertising cookies are on |
| Microsoft Corporation (United States) | Microsoft Clarity analytics | Only after you actively accept analytics |
| Meta Platforms, Inc. (United States) | Meta Pixel and Conversions API, to measure and run our ads on Facebook and Instagram | When advertising cookies are on |
| LinkedIn Corporation (United States) | LinkedIn Insight Tag, to measure and run our ads on LinkedIn | When advertising cookies are on |
| WhatsApp (Meta Platforms, Inc.) | Carries WhatsApp messages | Only if you message us on WhatsApp |
Inside our group. Ohzehn Textiles sits downstream of LFT (Luen Fung Textiles), the Fuzhou knitting group. When we need the knitting, dyeing, finishing or testing facilities in the group to quote, develop, test or produce your style, we send them the details of that style and the contact details they need. Nothing more.
Others. Professional advisers such as lawyers and accountants; authorities when the law requires it; and a buyer or successor if our business is reorganised or sold, who would have to treat your information in line with this policy.
Advertising platforms and "sharing". When advertising cookies are on, Google, Meta and LinkedIn receive identifiers and information about your visit, and they may combine it with what they already know about you to show you ads. Under California law this counts as "sharing" for cross-context behavioural advertising. If you turn advertising off, or your browser sends a Global Privacy Control signal, we do not share your information this way. See Section 8.
When advertising is on, our server also sends Meta copies of a few events (viewing one of our main pages, clicking our email address, sending a form) with your IP address, browser details and Meta's cookie values. When you send a form, Meta (through its Conversions API) and Google Ads (through enhanced conversions) also receive a scrambled (hashed) copy of your email address, so they can match it to an ad. Neither receives the contents of your message.
6. Where your information goes
Ohzehn Group LTD. is based in Hong Kong. Our team works in the United States and in mainland China (Fuzhou), and most of our service providers process data in the United States. Your information will be transferred to and processed in the United States, Hong Kong and mainland China. These places may not have the same data protection laws as where you live.
For information from the UK, the European Economic Area and Switzerland, we rely on the European Commission's standard contractual clauses (and the UK and Swiss equivalents), or on a provider's certification under the EU-U.S. Data Privacy Framework and its UK and Swiss extensions where the provider has one. Email us for a copy of the relevant safeguards.
If you are in Australia, this section is our notice that we disclose personal information to recipients in the United States, Hong Kong and mainland China.
7. How long we keep it
| Information | How long |
|---|---|
| Form submissions that do not turn into work | Deleted from our database 24 months after our last contact with you. Copies in our team inbox are deleted on request |
| Emails, other messages and booking records | Kept while we need them for the purposes in Section 3, and deleted when you ask us to |
| Submissions from the short form on our previous website | Deleted when you ask us to |
| Records of programs we run for you, including quotes, orders and invoices | For the program and 7 years after it ends, for tax, accounting and legal reasons |
| Hosting records | Kept by our hosting provider for a short period for security and troubleshooting, then deleted |
| Google Analytics data | 14 months |
| Microsoft Clarity recordings and heatmaps | Recordings up to 30 days (up to 13 months for a recording we mark to review), heatmaps up to 13 months, set by Microsoft |
| Cookies | See the durations in our Cookie Policy |
| Your cookie choice | 12 months, then we ask again |
| A note that you asked us to delete your data or stop contacting you | As long as needed to respect the request |
Advertising platforms keep what they receive under their own policies.
8. Your rights and choices
Everyone
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- tell you the names of the companies that have received it;
- correct it;
- delete it;
- stop following up with you;
- stop using AI tools on your messages;
- send your information to you or to someone else in a usable format.
You can also change your cookie choices at any time from the "Cookie settings" link at the bottom of every page.
To make a request, email hello@ohzehn.com with "Privacy" in the subject. We may ask you to confirm the request from the email address we have for you, so we know it is you. We answer within one month. If a request is complex, we will tell you within that month if we need longer and why. We do not charge for requests unless they are clearly unfounded or excessive, and we will never treat you differently for using your rights.
UK, European Economic Area and Switzerland
You also have the right to object to processing based on our legitimate interests, to restrict processing, and to withdraw consent at any time without affecting what happened before. If you are unhappy with how we handle your information, please tell us first. You can also complain to your data protection authority: in the UK that is the Information Commissioner's Office (ico.org.uk).
California
This section is our notice at collection under the California Consumer Privacy Act, as amended by the California Privacy Rights Act.
In the last 12 months we have collected these categories of personal information: identifiers (such as name, email address, IP address and cookie identifiers); professional information (your brand and role); commercial information (samples or programs you ask about); internet activity (how you use the site, with consent for anything beyond hosting records); and approximate location worked out from your IP address. We do not collect sensitive personal information and we do not use personal information to infer characteristics about you.
We collect it from you, from your device, and from the tools described in our Cookie Policy. We use it for the purposes in Section 3 and keep it for the periods in Section 7. We disclose identifiers, professional and commercial information to the service providers and group facilities in Section 5 for business purposes.
We do not sell personal information. When advertising cookies are on, we share identifiers and internet activity with Google, Meta and LinkedIn for cross-context behavioural advertising. Outside the UK, EEA and Switzerland they are on by default. You can opt out at any time:
- use the "Do not sell or share my personal information" link at the bottom of every page;
- turn off advertising in "Cookie settings";
- or turn on Global Privacy Control in your browser. We treat it as a valid opt-out for that browser.
You have the right to know, delete and correct your personal information, to opt out of sale and sharing, and not to be discriminated against for using these rights. You can use an authorised agent; we will ask for proof that you gave them permission. We do not knowingly sell or share the personal information of anyone under 16.
Other US states
If you live in a state with its own privacy law, such as Virginia, Colorado, Connecticut, Utah, Texas or Oregon, you have similar rights to access, correct, delete, get a copy of and opt out of targeted advertising with your personal information. The opt-outs above work for you too. If we turn down your request, you can appeal by replying to our answer. If we still say no, you can contact your state attorney general.
Australia
We handle personal information in line with the Australian Privacy Principles. You can browse this site without telling us who you are, but we need your name and email to reply to you. You can ask to access or correct your information at any time. If you have a complaint, email us first and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Hong Kong
We handle personal data in line with the Personal Data (Privacy) Ordinance. We collect it for the purposes in Section 3 and may transfer it to the classes of recipients in Section 5. Giving us your name, email, brand, category and a description of the style is needed for us to reply to a form; everything else is optional. You can ask to access and correct your data at hello@ohzehn.com. You can also contact the Office of the Privacy Commissioner for Personal Data (pcpd.org.hk).
9. Cookies and tracking
We use a small set of cookies and similar tools. In the UK, the EEA and Switzerland, only the ones needed to run the site and remember your choice are on until you accept more. Elsewhere, analytics and advertising are on when you arrive and you can turn them off. Session recording only starts when you actively accept it. If your browser sends a Global Privacy Control signal, advertising starts off. You can change your mind at any time from "Cookie settings". The full list is in our Cookie Policy.
10. Children
This site is for businesses. It is not meant for anyone under 16, and we do not knowingly collect their personal information. If you think a child has sent us personal information, email us and we will delete it.
11. Security
We use HTTPS across the site, limit who on our team can see inquiries, and use providers that protect data with access controls and encryption. No system is perfectly secure. If a breach affects your personal information, we will tell you and the authorities where the law requires it.
12. Changes to this policy
When we change this policy we update the date at the top. If a change is significant, we will say so on the site before it takes effect.
